This position will support several researchers of various levels, focused on national security and cybersecurity policy matters.
Under limited supervision, performs moderately complex to complex administrative duties using standard policies, procedures and guidelines.
Prepares a variety of letters, memos and reports using word processing, spreadsheet or database software. Answers and relays telephone calls or takes messages. Receives and directs visitors. Resolves inquiries via telephone, email, correspondence, or in person. Organizes, manages, coordinates, and monitors tasks to meet deadlines.
Establishes and maintains files and records. Sends, sorts and distributes mail. Photocopies and faxes information. Schedules and maintains calendar of appointments, meetings, travel arrangements and itineraries, project planner, etc. Plans and schedules onsite and offsite meetings and conferences. Orders and maintains office supplies. Maintains inventory of internal and external supplies and communication materials.
Assists staff in various activities such as coordinating information flow, preparing materials for distribution, completing and processing expense reports, reimbursements and other forms, handling and processing sensitive and/or classified materials, maintaining databases/files/reports, and/or reviewing/proofreading and processing proposals, documents, reports, and files. Assists in the preparation and control of records, statistics and reports regarding operations, timelines, deliverables, etc. Assists in substantive communications with clients, advisory boards, and related activities. May assist in preparation and monitoring of budgets.
Other duties as assigned.
Strong knowledge of MAC and/or PC platforms, text-processing, presentation, database, and spreadsheet software applications.
Good oral and written communication skills. Demonstrated ability to effectively coordinate multitask workload received from multiple supervisors. Strong organizational skills are essential. Ability to exercise tact, courtesy, and judgment in working with all levels of staff; ability to work effectively as a team player.
Strong experience organizing large classified and unclassified events and meetings with government agencies including client travel arrangements, expense reimbursements, invitations/ RSVPs, catering, passing of clearance, creation of a security check-in log, and other event duties as required.
Minimum: High School
Relevant Experience: Minimum: 5 years
Preferred: 6 - 8 years
Minimum requirement: Active Secret Clearance
Preferred: Top Secret with SCI
